  • Calendar & Meeting Management: Coordinate complex calendars across multiple time zones, schedule internal and external meetings, and ensure timely preparation of agendas and materials.
  • Travel & Logistics: Organize international and domestic travel, including flights, accommodations, visas, and detailed itineraries.
  • Expense Management: Prepare and submit expense reports in line with company policies, ensuring accuracy and timely reimbursement.
  • Document Preparation: Draft, format, and proofread presentations, reports, and correspondence with a high level of professionalism and attention to detail.
  • Meeting Support: Organize and support leadership meetings, workshops, and offsites, including venue booking, catering, and technical setup.
  • Stakeholder Coordination: Act as a liaison between the Senior Directors and internal/external stakeholders, ensuring smooth communication and follow-up.
  • Confidentiality & Discretion: Handle sensitive information with the utmost confidentiality and professionalism.
  • Ad Hoc Support: Provide additional administrative support as needed, including project coordination, data entry, and team support.

  • Proven experience as an Executive Assistant supporting senior leaders.
  • Excellent organizational and communication skills, with discretion and attention to detail.
  • Fluent in English; French is a strong asset.
  • Comfortable working independently and managing multiple priorities.
